2013 Concession Terms & Conditions

We solicit your support and cooperation in abiding with the following TERMS and CONDITIONS

which apply to all Concessionaires.


1. Payment for all concession space must be made in full 14 days prior to the first day of the fair.

All cheques/money orders must be cashable at that time.

Please remember that spaces cannot be reserved until full payment has been received.

Any payments received after the 14 day deadline must be paid in full by cash.


2. Displays must be in place by 9:00 a.m. on Friday or reserved spaces will become available to

applicants on the waiting list. Spaces will be cancelled without refunds.


3. Concessionaires are requested to comply with the operational times of the fair as outlined on

the Concession Policy.


4. Any Concessionaire, who arrives prior to the day he/she is scheduled to set up, will be charged

an additional fee of $25 per day. (e.g. arriving Tuesday morning instead of Wednesday night.)


5. Merchandise, decorations and equipment are the responsibility of the Concessionaire.

Grounds (interior and exterior) will be toured during non-operational fair hours by patrol staff.


6. The Agricultural Society is not responsible for any outdoor merchandise or equipment which is

left onsite after 8:00 p.m. on the final day of the fair.


7. No vehicles servicing displays will be permitted to block any of the access roads on the grounds

during the fair. Anyone delivering supplies or setting up their space are asked to have it

completed an hour before gates open to avoid traffic congestion. Concessionaires should avoid

driving to their space during fair operational hours.


8. Concessionaires will be provided with complementary parking in the parking lot located off of

the grounds at the William Street entrance. Concessionaires will not be permitted to park beside

their space unless their vehicle will fit exactly onto their

purchased space. When measuring for your space, please

remember to include your trailer tongue as part of the length

required.

In some cases, Concessionaires may park on the track

behind their site unless the space is required for fair entertainment

at which time vehicles must be relocated.


Parking is restricted on Mill Creek Drive through Municipal By-Law.

9. Each Concessionaire will be charged a base rate of $20 for one electrical outlet. This charge is

required to cover the inspection fees applied to the Agricultural Society by the Ontario Electrical

Safety Authority. If additional outlets are required, a $30 charge will be applied.


10. Concessionaires receiving space at no cost are still required to pay the base fee for one outlet.


11. Random inspections will be completed by the Ontario Electrical Safety Authority. Unsafe cords

or wiring will be immediately disconnected.


12. Outdoor Concessionaires are not to nail signs or banners, etc. onto the outside of the Main Hall.


13. Indoor Concessionaires are to use matt pins to secure materials onto the interior walls of the

Main Hall. Nails, screws and tape are prohibited.


14. Vending on the Midway side of the grounds is prohibited.


15.Concessionaires requiring a water source must receive approval from the Concession

Committee for the placement location of their water hoses. Uncovered hoses lying in high traffic

areas will be removed.


16. Concession spaces will not be reserved from one year to another. Space available will be

allocated as PAYMENT and APPLICATION are RECEIVED. Spaces are awarded on a ‘first come,

first served’ basis. Spaces will be arranged at the discretion of the Concession Committee and

will be dependent upon space size, repetitions and needs of the Concessionaire.


17. Concessionaires are prohibited from selling unlicensed, illegal, immoral, or contraband products.


18. Any Concessionaire using propane must comply with Provincial Propane and Fire Regulations.


19. Random inspections will be completed by the Rideau Lakes Fire Department.


20. Random inspections will be completed by the Lanark, Leeds-Grenville District Health Unit.


21.Concessionaires must carry a minimum of $1 million ($1,000,000.00) liability and loss of

property insurance. A photocopy of the policy must be submitted with the Concession

Application Form.


22. In an attempt to create a clean and welcoming environment, we request that all Concessionaires

maintain their space in a clean, tidy and attractive manner. Concessionaires are asked to have

their tables covered with table cloths and extra boxes of merchandise should be hidden from

sight during operational hours.

23. Concessionaires are asked to wear their exhibitor’s ribbon while at their display booth. If

applicable, a list of group names should be provided at the Gate for any related shift changes.


24. All concessionaires must refrain from using profanity or consuming any intoxicating beverages/

substances during hours of operation.


25. Indoor Concessionaires are asked not to use strong perfumes or scented articles as this could

lead to breathing difficulties for other vendors or patrons of the fair.


26. The Delta Agricultural Society reserves the right to revoke any contract in the event false

information is provided on the Application Form or if the Terms and Conditions are violated.


27. Concessionaires wishing to camp offsite during their stay in Delta, we would recommend that

you contact the following campgrounds early as spaces are limited:

28. Upon arrival at the Fair Grounds, Concessionaires will receive a registration package containing

the following items:

a. Fair Program

b. Complementary Parking Pass for the William Street Lot

c. Exhibitor’s Ribbons (2). These ribbons must be worn to gain free admission to the

grounds.

d. Receipt for advanced payment.


Concession Contest

The Concession Committee is pleased to once again sponsor a contest for the

“Best Appearing Display with the Friendliest Service.”

The winner of the contest will receive a 50% discount off of the total cost of their space (same size

and location as currently occupied) for the 2014 fair. A trophy will be awarded to one indoor and one

outdoor concessionaire.
